What we collect
When you enquire, request a quote or book work, we may collect your name, contact details, collection address, site and access information, service requirements, photographs or video of the job, quotation and payment records, and communications with us.
Please avoid including people, identification documents or other sensitive personal information in site photographs unless it is genuinely necessary and agreed with us.
Why we use it
We use information to understand and quote the job, check access and waste requirements, communicate with you, arrange and perform services, issue paperwork and invoices, manage safety or disputes, and meet tax, waste-management and other legal obligations.
Our legal reasons
Depending on the stage and purpose, processing is necessary to take steps at your request before a contract, perform a contract, comply with legal obligations, or pursue legitimate interests such as responding to enquiries, keeping appropriate business records and protecting the business against claims. We do not add enquiry details to unrelated marketing lists without a separate lawful basis.
Who receives information
Website enquiries are processed by RIFT’s hosted website and delivered through Resend, our transactional email provider. Enquiry details and selected attachments are included in the messages sent to RIFT and in the customer confirmation where applicable. Information may also be handled by service providers supporting cloud storage, payments, accounting and business administration, and by disposal sites, subcontractors, professional advisers, insurers or authorities where necessary for the job or law. We only provide what is reasonably needed for the relevant purpose.
ScopeScan and automated guidance
ScopeScan organises the answers, item quantities, access details and photographs you provide into a rough job-size band, handling flags and suggested service route. It does not make a final price, acceptance or booking decision. A person reviews the enquiry before any quotation or attendance is confirmed.
How long we keep it
We keep enquiry information only while it remains useful for responding, quoting and following up. If work proceeds, relevant customer, financial, waste, insurance and job records are retained for the periods needed to meet legal, contractual and claims requirements. Records are deleted or anonymised when no longer required.
Your rights
Depending on the circumstances, you may have rights to access, correct, erase or restrict your personal information, object to certain processing, or receive a portable copy. Contact us using the details on this page. You may also complain to the Information Commissioner’s Office at ico.org.uk.
Security and changes
We use proportionate organisational and technical measures to protect information. No online service is completely risk-free, so do not send unnecessary sensitive information. We may update this notice as the website, providers or legal requirements change.
